Refund & Cancellation Policy

Effective Date: 11 June 2026

At BulkFineChem, we are committed to supplying quality-verified bulk ingredients to businesses across India. As a B2B bulk supply platform, our refund and cancellation terms reflect the commercial nature of large-volume ingredient procurement, where significant sourcing, logistics, and quality verification costs are incurred upon order confirmation.

Please read this policy carefully before placing a bulk order.

 

1. Order Cancellation

Before Dispatch:

Cancellation requests must be submitted in writing to bulkagrochem@gmail.com within 48 hours of order confirmation (i.e., before the consignment is dispatched). If the order has not yet been dispatched and no sourcing or freight costs have been committed, we will process a refund of the advance payment less a 10% administrative and processing fee.

If sourcing, quality testing, or freight booking has already been initiated at the time of cancellation, the cancellation fee will be higher and will be calculated based on actual costs incurred. BulkFineChem will communicate the applicable deduction in writing before processing the refund.

After Dispatch:

Orders cannot be cancelled once the consignment has been dispatched from our warehouse or the manufacturer's facility. In such cases, buyers may refer to our Return Policy below.

 

2. Refund Policy

Eligible for Refund:

       Advance payments for orders cancelled within 48 hours of confirmation before dispatch, subject to the administrative fee deduction described above

       Duplicate payments or billing errors — refunded in full within 7 business days of written confirmation

       Orders where the product is confirmed to be substantially non-conforming to the agreed specification (as evidenced by a third-party lab report or our own QC findings) and replacement is not feasible

Not Eligible for Refund:

       Payments for orders that have already been dispatched

       Advance payments where sourcing, quality verification, or freight costs have been fully committed

       Products returned without prior written authorization from BulkFineChem

       Claims based on end-product performance, regulatory non-compliance of the buyer's finished goods, or market conditions

       Products where the quality issue arises from improper storage or handling by the buyer after delivery

Approved refunds will be processed to the original payment method (bank account or UPI) within 7–10 business days of approval. BulkFineChem is not liable for delays caused by banking processes.

 

3. Return & Replacement Policy

Given the bulk and B2B nature of our transactions, returns are accepted only in the following situations:

       Wrong Product Supplied: You receive a product that is materially different from what was ordered and confirmed in the invoice

       Significantly Non-Conforming Quality: The product does not meet the specifications stated in the agreed CoA, as confirmed by a mutually accepted lab test

       Damaged in Transit: The consignment arrives with visible physical damage to packaging that has compromised the product integrity

All claims must be raised in writing within 7 days of the date of delivery of the consignment, supported by:

       Photographs or video evidence of the damage, defect, or discrepancy

       A copy of the delivery receipt or Proof of Delivery (POD)

       A third-party laboratory test report (where quality non-conformance is alleged)

Claims raised after the 7-day window, or without supporting documentation, will not be eligible for return or replacement.

 

4. Return Process

To initiate a return or replacement claim:

1.    Email bulkagrochem@gmail.com within 7 days of delivery with your order number, invoice number, and a description of the issue

2.    Attach clear photographic or video evidence of the damage, defect, or discrepancy, along with the Proof of Delivery

3.    For quality disputes, submit a third-party lab report from a NABL-accredited laboratory confirming non-conformance against the agreed specifications

4.    BulkFineChem will review your claim and respond within 3–5 business days with a decision

5.    If the claim is approved, we will arrange pickup of the non-conforming goods and either dispatch a replacement consignment or process a refund as mutually agreed

Products returned without prior written authorization from BulkFineChem will not be accepted and will be returned to the sender at their expense.

 

5. Partial Consignment Issues

In the event of a partial shortage or partial quality issue within a consignment:

       We will credit or replace only the non-conforming or short-delivered portion, not the entire consignment

       The buyer must provide documentary evidence of the shortage (e.g., weigh-bridge slip, unloading report)

       Claims must be raised within 7 days of delivery

 

6. Force Majeure

BulkFineChem shall not be held liable for delays or failures in delivery, or for cancellation or refund obligations, arising from circumstances beyond our reasonable control, including natural calamities, transportation strikes, regulatory restrictions, or other force majeure events. In such cases, we will work in good faith with the buyer to find an alternative arrangement.
